Are You Neglecting What’s Important?

Reflection drill: Remain focused on preplanned priorities. The more you get caught up with what’s urgent, the less you’re involved with what’s truly important.

Why it matters: By keeping your focus on your priorities, you’ll keep a proper perspective, even in an emergency.

Thinking drill:

If today’s urgent wasn’t so urgent, would you give it an A, B, or C priority 

How can you extinguish your fires without being consumed by them? 

When asked to do something new, how does that affect everything else on your priority list?

Is Your Desk Covered With Phone Messages?

Reflection drill:  Batch as many of your calls as you can into one block of time.

Why it matters: Batch similar tasks together. Establish a time every day for using the telephone in a concentrated burst. Use this time to return calls, make important calls or keep in touch with your contacts on a regular basis.

Thinking drill:

When’s the best time of the day for you to return calls? 

Do you know when it’s the best time to reach those you need to talk to? 

When will be the best time to make most of your calls tomorrow?

Speak in a positive, powerful and uplifting manner for the rest of the day. Then notice how it changes the way you experience the world and how you feel at the end of the day.

Thinking drill:

Is your language predominately positive or negative?

What is an example of a negative expression you commonly use, and what positive words could you replace it with?

What words could you change right now to create a more positive experience?

Don’t I Know You?

Reflection drill:  Create a file for every person you meet even if all you have is a name, title or phone number. This will give you one convenient place to keep new, relevant information on each person as you collect it.

Why it matters:  Create a unique place for everything. Use your people files to keep any notes, info or questions you need to discuss with this person the next time you talk with him or her.

Thinking drill:

Who have you met for the first time recently?

Would it be helpful to have a folder of information in front of you the next time you call someone back?

Where do you keep all of the questions you need to ask next of your largest supplier?

Is This Phone Call Really Necessary?

Why it matters: Create systems to maximize time — yours & others. Use your next phone call as one more demonstration of your commitment to a system that respects everyone’s time.

Would it be best to make a call now, or to combine it later with other questions?

Are You Taking The Time To Save Time?

Reflection drill:   You must plan, no matter how busy you are. The less time you have, the more important it is to plan. Planning doesn’t take up time, it saves time … big time!

Why it matters:  Plan at least one step ahead of where you are at EVERY point in time.

Protect yourself against poor performance this week. Take time on Monday to plan for Tuesday and on Tuesday to plan for Wednesday, etc.

Thinking drill:  

How much time do you spend planning? 

Do you block sufficient planning time into the beginning of each project and task? 

When, today, can you review your plan for tomorrow?
